VTI Venezuela Travel International

Definitions

  • Agency: Refers to VTI Venezuela Travel International, located at Maiquetia, Venezuela.
    Client: Any natural or legal person who contracts the services offered by the Agency.
    Services: The set of services offered by the Agency, including but not limited to the intermediation in the booking and contracting of airline tickets, accommodation, ground transportation, excursions, travel insurance, and tour packages.
    Provider: Third party that directly provides the contracted services (airlines, hotels, tour operators, insurers, etc.).
    Travel Contract: The formal agreement between the Agency and the Client, based on the acceptance of these General Conditions and the booking confirmation.
    Total Price: The total amount to be paid by the Client for the contracted Services, including taxes, fees, and applicable charges.
    Itinerary: A document detailing the services included, dates, times, destinations, and other relevant information about the trip.

  • Service Fee: This is a non-refundable amount that covers the Agency’s work in the planning, quoting, booking, and coordination of the contracted Services.

General Terms and Conditions

1. Object of the Contract

  • The Agency acts as an intermediary between the Client and the Providers to facilitate the booking and contracting of the selected Services.

  • The Agency undertakes to manage bookings based on the information provided by the Client and the existing availability. The effective execution of the services is the direct responsibility of the Providers.

2. Booking and Contracting Process

  • The Client may request information through the enabled means: in person, by telephone, email, or through the website.

  • The Agency will provide details on prices, availability, provider policies, and travel requirements (documentation, visas, vaccinations, etc.).

  • All bookings are subject to confirmation of availability by the Provider.

  • Once the Total Price has been accepted by the Client and availability confirmed, the booking will be formalized through the corresponding payment and the issuance of the Itinerary.

  • The Client must verify the accuracy of the information contained in the booking confirmation and report any errors immediately.

3. Prices and Payment Methods

  • Prices will be expressed in the agreed currency and are subject to variations due to changes in fares, taxes, or fees before the issuance of travel documents.

  • The Agency will inform the Client of the Total Price before confirming any booking.

  • Accepted payment methods will be indicated by the Agency in each case.

  • The Client undertakes to pay the Total Price within the established deadlines to guarantee their booking.

  • When paying by credit or debit card, the Client authorizes the Agency to make the corresponding charges.

4. Modifications and Cancellations by the Client

  • Any modification or cancellation is subject to the Provider's policies, which may involve additional charges.

  • The Agency will inform the Client in advance of any potential costs arising from modifications or cancellations.

  • Administrative expenses may be applied by the Agency, which will be communicated beforehand.

  • Requests must be made in writing, through the official channels indicated by the Agency.

5. Modifications and Cancellations by the Agency or Providers

  • According to the requirements of Tour Operators, the Agency may make minor adjustments to the itinerary without significantly affecting the trip. The Client will be informed with due notice.

  • In the event of significant changes by the Provider (cancellations, schedule changes, hotel closures), the Agency will offer alternative options or the corresponding partial refund, in accordance with the current policies of the Tourist Service Providers involved.

  • The Agency will not be responsible for situations of force majeure or causes beyond its control (natural disasters, conflicts, pandemics, government decisions, etc.).

6. Travel Documentation

  • It is the exclusive responsibility of the Client to have the necessary and valid documentation for the destinations to be visited.

  • The Agency may offer general guidance but is not responsible for the processing, veracity, or validity of said documents.

  • The Client must inform themselves about the immigration, health, customs, and security requirements of the destination.

7. Luggage

  • The conditions regarding luggage (weight, dimensions, charges) are determined by each Provider, especially airlines.

  • The Agency will provide the Client with the relevant information that is available.

  • In case of loss, damage, or delay of luggage, the claim must be made directly to the responsible Provider. For this, it is recommended to contract a Travel Assistance Insurance service with international and domestic coverage.

8. Travel Insurance

  • The Agency may offer the option to purchase optional travel insurance.

  • The purchase of this insurance is voluntary and subject to the conditions of the policy issued by the insurer.

  • The Agency acts solely as an intermediary and assumes no responsibility for the coverage or exclusions of the contracted insurance.

  • It is important to note that depending on the destination, Travel Insurance with specific coverage amounts is required as a mandatory condition for entering their countries.

9. Responsibility of the Agency

  • The responsibility of the Agency is limited to the correct intermediation between the Client and the Provider.

  • The Agency will not be responsible for the acts, omissions, or breaches of the Providers, nor for incidents occurring during the provision of the service.

  • In case of failures directly attributable to the Agency, its responsibility is limited to the refund of the amounts paid for services not provided. It is important to highlight that the agency only retains the value of the Service Fee corresponding to the Travel Agency.

10. Agency Service Fees (Service Fee)

  • The Client acknowledges and accepts that the Total Price paid for the contracting of the Services includes both the costs corresponding to the Providers (airlines, hotels, tour operators, insurers, among others) and the Agency's service fees (Service Fee), which represent the remuneration for the intermediation, advice, and management carried out by the Agency.

  • The Service Fee is a non-refundable amount that covers the Agency's work in the planning, quotation, booking, and coordination of the contracted Services. This amount is independent of the terms and conditions that govern the services of the Providers.

  • In case of modifications, cancellations, or refund requests by the Client, these will be subject solely to the policies established by each Provider. The Agency is not responsible for the final decision of the Provider regarding refunds, penalties, changes, or any particular condition.

  • The Agency will only assume direct responsibility for the Service Fee, and not for the amounts corresponding to the services provided directly by third parties.

  • However, the Agency will always be available to ensure the correct fulfillment of the services provided by its Providers and, in case of dispute, may act as an intermediary between the Client and the Tour Operators, in order to assist and guide the Client in their requirements diligently and collaboratively.

11. Claims

  • Any claim must be made in writing with the corresponding documentation.

  • The Agency will act as an intermediary to channel the claim to the corresponding Provider.

  • The deadlines for submitting claims are subject to the policies of each Provider and current regulations.

​

12. Applicable Law and Jurisdiction

  • These conditions are governed by the laws of the Bolivarian Republic of Venezuela.

  • Any dispute will be submitted to the competent courts, unless otherwise agreed by the parties.

​

13. Acceptance of the Conditions

  • The payment and acceptance of the budget by the Client implies full and unreserved acceptance of these General Conditions, without reservations.

​

14. Protection of Personal Data

  • The Agency will process the Client's personal data in accordance with its Privacy Policy, available on the website.

  • The Client authorizes the Agency to share their data with the Providers and third parties necessary for the execution of the contracted Services.

Additional provisions specific to excursions organized by the Agency

In addition to the general conditions previously indicated, the following provisions apply specifically to excursions organized by the Agency:

Extension of Return

  • If passengers wish to extend the scheduled return time, they must notify the service personnel in advance. This modification will involve an additional cost, which must be borne by the passengers and paid before or at the time of the extension.

​

Abandonment or Interruption of the Tour

  • In the event that one or more participants decide to leave or interrupt the excursion during the return journey, they must assume the transfer to their accommodation at their own expense. If a request is made for the Agency's personnel to return to perform the transfer service, an additional surcharge will apply.

​

Half-Day Tours

  • Excursions classified as half-day tours do not include lunch, unless expressly indicated in the description of the contracted service.

​

Gratuities (Tips)

  • Gratuities offered to the staff (guides, drivers, assistants, etc.) are completely voluntary. There is no established amount, and their delivery is at the Client's discretion, as recognition of good service received.

​

Comments, Suggestions, and Complaints

  • All complaints, suggestions, or comments must be submitted in writing through the official emails: info@venezuelatravelinternational.net

  • Likewise, the Client is invited to use the Official Book of Suggestions and Complaints of the Ministry of Popular Power for Tourism, available at the reception of the Agency's office.

Logistical Inconveniences

  • The Agency is not responsible for delays, cancellations, changes in the itinerary, or any other type of inconvenience caused by external factors beyond its control, such as adverse weather conditions, traffic congestion, government restrictions, or other unforeseen logistical circumstances.
